Live Design Session
Your draftsman schedules an online booking. You can view the design live and give input in real time (typically via Zoho Meet).

Design Approved → 30% Deposit
After the design is completed and approved, a non-refundable 30% deposit is required. Work pauses until payment is received.

Working Drawings Phase
Detailed working drawings begin. Your project may remain with the same designer or be assigned to another for completion.
Note: Changes are not advisable at this stage. If changes are required, an additional fee of at least 30% of the drawing cost applies. -

Submission Documents Collected
If CAMS is submitting on your behalf, we collect the required documentation for Parish Council submission.

Pre-Approval + Watermarked Preview
You receive a watermarked PDF (or secure link) while pre-approval is processed at the Parish Council.

Council Review (~8 weeks)
We add your project to the Parish Council tracking calendar with an estimated approval time of approximately 8 weeks.

Corrections (If Requested)
If the Parish Council requests corrections, CAMS will update drawings promptly to avoid delays. These council-requested corrections are completed at no additional cost.

Final Payment Before Handover
Final payment is required before drawings are printed/released to the client.

Printing, Collection & Signing
Required drawing copies are printed for submission. If you need extra copies, these are billed separately. Client collects drawings and signs a final acknowledgement form.

If you (or another representative) submit the drawings, please notify CAMS so we can still add your project to the tracking calendar.
Architectural Design & Drafting Services Agreement
1. PARTIES
This Agreement is entered into between CAMS Drafting & Construction Ltd. (“CAMS”, “the Architect”, or “the Company”) and the Client, collectively referred to as “the Parties”.
2. SCOPE OF SERVICES
CAMS agrees to provide architectural design and drafting services for the Client’s project as requested. Fees quoted cover design and drafting services only and do not include Parish Council approval fees, engineering stamps, or statutory costs unless explicitly stated.
3. SITE VISITS
3.1 Site visits may be conducted at CAMS’ discretion depending on the adequacy of information provided by the Client.
3.2 One initial site visit may be required to initiate design. Additional visits requested by the Client will incur extra charges.
3.3 If a site visit is conducted and the Client delays the project for more than 14 days or discontinues services, a site visit fee shall be invoiced.
3.4 If the Client proceeds after paying the site visit fee, 50% of that fee will be credited toward drawing costs.
4. DESIGN AND DELIVERY PROCESS
4.1 Request for Drawings
Prospective clients must complete the official Service Request Form available at:

Upon submission:

A support ticket is automatically generated.

Communication begins between CAMS and the prospective client to explain the drafting process, requirements, and policies.
If the prospective client agrees to proceed:
CAMS will:

Create a dedicated project workspace for document and drawing storage.
-
Add the client to Zoho Books (accounting system).
-
Add the client to the project collaboration community, where they can:
-
track project communication
-
collaborate with the design team
-
receive automatic notifications
-
-
Assign a draftsman to the project.
4.2 Design Stage
The assigned draftsman will schedule an online design session with the client.
During this session:
-
The design is developed live with the client present.
-
The client may provide real-time input and feedback.
This session is typically conducted via Zoho Meet or another approved virtual platform.
Once the design is approved by the client:
-
A non-refundable 30% deposit is required.
-
Drafting work will not proceed until payment is received.
4.3 Working Drawing Stage
After deposit payment:
-
The project moves to the detailed working drawing phase.
-
The drawing may remain with the same designer or be assigned to another draftsman for completion.
Important Notice:
Changes during this stage are strongly discouraged. Clients are advised to carefully review designs during the design stage.
If changes are requested during this stage, an additional fee of not less than 30% of the drawing cost will apply.
4.4 Documentation for Parish Council Submission
At this stage, CAMS gathers all required documents for submission to the Parish Council if the client has requested CAMS to perform submission services.
4.5 Pre-Approval Stage
During this stage:

The client will receive a watermarked PDF preview of the completed drawing (or secure access link).

The client will be notified via email that drawings are complete and pre-approval is in progress.
Once Parish Council confirms acceptance:

CAMS will proceed with printing required drawing copies for submission.

Additional copies requested by the client will be charged separately.
Before handover:

Client must collect drawings

Client must sign final confirmation form
-
Final payment must be completed
Drawings will not be released until payment is received.
4.6 Submission & Approval Monitoring
If CAMS is responsible for submission:

The project is entered into the Parish Council tracking calendar.

Estimated approval timeline: approximately 8 weeks
If corrections are requested by the Parish Council:

CAMS will promptly make revisions
-
No additional fee will be charged for council-requested corrections
If the client or another representative submits drawings:

The client must notify CAMS so the project can still be tracked within the approval system.
5. PAYMENTS
- 5.1 Deposit
A non-refundable 30% initial payment is required before drafting begins. - 5.2 Revisions

Fee includes two (2) revision rounds

- 5.3 Final Payment
Final payment must be made within 14 days of drawing completion. - 5.4 Late Payment
CAMS reserves the right to withhold drawings until payment is received.
6. DETAIL DRAWINGS
Detailed drawings are prepared and shared with the Client in view-only PDF format for review prior to finalization.
7. PRE-APPROVAL PROCESS
CAMS may submit drawings for preliminary council review. Required corrections will be made and resubmitted until pre-approval is obtained.
8. FINAL HANDOVER
Upon final payment:

Client receives downloadable PDFs

Hard copies provided upon signature

9. SUBMISSION TO PARISH COUNCIL
9.1 Client may submit drawings personally or request CAMS to submit for an additional fee.
9.2 If CAMS submits on Client’s behalf, Client must supply:

Authorization letter notarized or signed by Justice of the Peace
9.3 Collection of approved drawings is not included unless paid for.
10. CLIENT RESPONSIBILITIES
Client must:

Respond promptly to approvals

Submit drawings within 30 days
Failure to submit within this period releases CAMS from responsibility for council-requested changes.
11. TIMELINES
Project timelines depend on Client feedback. Delays caused by Client automatically extend project deadlines.
12. ADDITIONAL PROFESSIONAL REQUIREMENTS
For projects exceeding 3000 sq ft, engineering stamps may be required at Client’s cost. Architectural stamps may be required in rare cases.
13. CONSTRUCTION DISCLAIMER
CAMS is not responsible for:

Construction errors
-
Contractor workmanship
-
Misinterpretation of drawings
-
Unauthorized modifications
14. OWNERSHIP OF DOCUMENTS
All drawings remain property of CAMS.
Client receives a non-exclusive license to use drawings solely for construction of the project.
15. TERMINATION & CANCELLATION FEES

16. COMMUNICATION POLICY
All approvals, changes, and instructions must be confirmed via written communication (email or signed document).
17. FORCE MAJEURE
CAMS shall not be liable for delays caused by events beyond reasonable control, including natural disasters, illness, government actions, or technical failures.
18. GOVERNING LAW
This Agreement shall be governed and interpreted under the laws of Jamaica.
19. ACCEPTANCE
By signing, both parties agree to all terms herein.
